How It Actually Works: The Process
Four steps. Minimal coordination required on your end.
Step 1 — Reach out
Send a note with your approximate team size, location, and a rough timeline. Within one business day, I'll come back with a quote and session plan specific to your needs. For larger teams, I send a scheduling link your team can use to self-select their time slots directly — which takes the calendar coordination off your plate entirely.
Step 2 — Prepare
Once you're booked, I send a team preparation guide you can forward directly to your staff. It covers what to wear, what to avoid, what to expect on the day, and how to prepare for the camera. No one arrives guessing. I also send backdrop colour options so your team can align on a look before anyone shows up — classic neutrals, warmer tones, or something that sits closer to your brand palette.

Step 3 — Session day
I arrive early to set up the full mobile studio before the first person walks in. Professional lighting, backdrop, equipment — all in place before your team sees it.
Each team member gets approximately 8-10 minutes of individual session time. I guide every person through exactly what to do: posture, expression, where to look, what to do with their hands. We review images together during the session so there are no surprises. No one stands there wondering if they're doing it right.
The team members who walk in most convinced they don't photograph well are almost always the ones who have the hardest time choosing a favourite from their gallery.
Step 4 — Delivery
Final retouched images are delivered within 10 business days once everyone has selected their desired image. Every image is delivered in colour and black and white, and both print and web resolution, ready to use immediately on your website, LinkedIn profiles, directories, and printed materials.
What If Someone Misses the Session Day?
It happens at almost every team booking. A client emergency, a medical appointment, a last-minute conflict. This is one of the questions I get asked most often. Team members who can't make the main session have the option of booking a studio session at my Langford studio at a reduced rate. I use the same backdrop colour, the same lighting setup, and the same retouching process. The images are visually indistinguishable from the ones taken on the day.
